    Junior sporting clubs such as the Cloverdale Comets can not operate without the volunteers who help keep the sport a fun and enjoyable experience that keeps the players coming back every year. We have many volunteer roles open for parents and family members regardless of age and experience. From seats on the committee that help organise exciting events - to assistants who keep the grounds ready to play ball - to coaches, assistant coaches and team managers of our kids Tee-Ball and Softball teams. If you or someone you know have ever wanted to give back in your community, this list explains more about the volunteer roles of the club.
  • Club President

    The President is the principal leader of the Club, and has overall responsibility for the Club’s administration.
    Responsibilities:
    • Chair Committee and/or Executive meetings (as Chairperson) and the Annual General Meeting
    • Remain well informed of all Club activities
    • Have a good working knowledge of the Constitution, rules & duties of all officials
    • Represent the Club as required, and in absence of the Vice President Tee-Ball and/or Vice President Softball.
    • Liaise with relevant Councils, Shires and Boards as required
    • Develops the Clubs’ policies and procedures, and undertakes review of these as required
    • Shall have the right to act as an ex officio member at all subcommittees of the Club
  • Club Secretary

    The Club Secretary is the primary organiser of the Club and is responsible for effective administration.
    Responsibilities:
    • Manage monthly committee meetings and AGM, including preparation of agendas and minutes.
    • Book events and facilities including green space booking, club room booking, coach / umpire training, end of season wind up
    • Manage all general club correspondence, responding to any correspondence as required or forwarding to relevant committee member
    • Respond to queries including via website Enquiry form
    • Be the clubs point of contact for key stakeholders including local council, local association and peak sports bodies
    • Maintain a register of the latest version of all club documentation including but not limited to the Club Rules, all policies and procedures, by laws, position descriptions, subcommittee terms of reference, coach and player development plans etc.
    • Maintain a record of all Club Office Bearers, Committee Members and Club Representatives
    • Maintain Club electronic records
    • Maintain access to club emails for new and exiting committee members
  • Club Treasurer

    The Treasurer is responsible for implementing and maintaining the Club’s financial operations and planning systems.
    Responsibilities:
    • Ensure that adequate accounts and records exist regarding the Club’s financial transactions
    • Issue receipts and promptly deposit all monies received in the Club’s bank account
    • Make all approved payments promptly
    • Keep accurate and up-to-date records of all income and expenditure
    • Act as the signatory on the Club’s bank accounts, cheque accounts, and investment and loan facilities (with at least one other Executive committee member, either President and/or Secretary)
    • Manage the Club’s cash flow and be accountable for the Club’s petty cash
    • Prepare regular bank account reconciliation statements for presentation to the management committee and/or AGM.
    • Prepare financial accounts for review or auditing for presentation at the Annual General Meeting
  • Vice-President Tee-Ball

    The Vice President Tee-Ball has the overall responsibility and coordination of Tee-Ball related activities and assumes responsibility of the President in their absence, as required
    Responsibilities:
    • Coordinate and oversees the Tee-Ball season including creating fixtures, coordinate and implement a canteen roster, team photos, Have a go day, Twilight games, sausage sizzle and end of season Wind-up event) with support from committee members.
    • Liaise with schools, sports associations and other Clubs
    • Support the TBAWA Representative and assist with the coordination of the Clubs’ involvement in TBAWA events (such as Warren Lake and State Championships)
    • Maintain register of player statistics
    • Maintain the Clubs Facebook page for relevant Tee-Ball matters during the season. This to be shared in conjunction with Vice President Softball and Club President.
    • Officiate, and represents the Club, at any Tee-Ball related function (may or may not be in the company of the Club President)
    • In the absence of the President and in accordance with the Rules of the Constitution; Chairs all meetings where required, Attends Affiliated Association meetings
  • Registrar Tee-Ball

    The Registrar is responsible for the prompt processing of all registrations and for keeping a record of registered players.
    Responsibilities:
    • Update and activate online registration form
    • Update and distribute registration flyer
    • Process all registration forms received to ensure accuracy of information, prompt payment of fees and determination of non-graded teams
    • Distribute registration emails/letters pre-season
    • Coordinate any requests for player dispensations
    • Coordinate team allocations, and arrange for team lists to be distributed to the coaching staff (in conjunction with Vice President Tee-Ball and/or Club President)
    • Maintain register of members of the association, in line with legislative requirements
    • Maintaining register of player statistics
    • Submit affiliation form to TBAWA
    • Nominate teams and register players for Warren Lake carnival
    • Arrange for selection and purchase of player trophies
    • Liaise with Registrar Softball for across Club support.
    • In the absence of this member, Registrar Softball to undertake roles until position can be filled.
  • General Committee Roles

    The Executive Committee Group are supported by additional committee roles who help to support the club.
    General Committee Roles Include:
    • Canteen Coordinator
    • Coaching Coordinator
    • Property Coordinator
    • Services Coordinator
    • Sponsorship Coordinator
    • TBWA Representative
    • Uniform Coordinator
    • Umpiring Coordinator
  • Team Coaching Group Roles

    Each Team Coaching Group work together to manage their groups of up to 12 players, mentoring them to develop their core values of Fun, Fair Play and Family Involvement.
    Team Coaching Group Roles Include:
    • Coach
    • Assistant Coach
    • Team Manager
  • Game Day Roles

    On Game day there are other additional volunteer roles. These are usually coordinated within each team by the Team Manager and Coach/Assistant Coach. These Roles Include:

    • Base Coaches
    • Equipment Setup / Pack Up
    • Canteen Support
